What does it cost to hire an AI consultant in Stockholm?

On top of the project price comes the running cost of the AI model itself. It is paid per use directly to the provider and lands at 100–500 kr per month for most small companies - a chatbot handling a few hundred conversations a month costs less than one lunch a week to run. We set up the account in your name so that you own both the data and the invoice.

AI consultant or AI agency - what is the difference?

The words are used interchangeably, but they describe two different ways of buying AI help. The difference shows up mainly in what you are left holding once the project ends.

  • An AI consultant is usually hired by the hour or by assignment and works inside your organisation, typically alongside your own IT department. Suits companies that already have developers and need specialist skills for a period.
  • An AI agency takes responsibility for the whole chain: idea, build, integration and operation. Suits companies without an in-house development team that want a finished solution and someone to call when it misbehaves.
  • An IT consultancy with an AI offering usually works in larger projects with a longer run-up and higher hourly rates - reasonable for major system integrations, oversized for a chatbot.
  • An automation consultant builds flows in tools such as Make, n8n and Zapier, with or without a language model. If a flow can be solved with plain automation without AI it becomes cheaper, and then we say so.

AI chatbot on your website: when is it worth it?

A chatbot pays off when three things are true at once: you get a lot of questions, the questions repeat, and the answers are already written down somewhere. If you get five emails a week, a clearer contact form is both cheaper and better.

  • Reasonable volume: from roughly 100 customer questions a month, where half concern prices, opening hours, delivery, terms or shipping.
  • The training material exists: price lists, FAQs, product sheets and terms in text - without your own material the chatbot is just ChatGPT with your logo on it.
  • Someone owns it: a person who reads the chat logs once a month and corrects what went wrong. Without that role every chatbot decays within six months.
  • The handover is solved: when the AI is uncertain the conversation should go to a human, not produce an invented answer.

A chatbot that answers a pricing question incorrectly costs more than it saves. That is why we always build in a ceiling: when the model cannot find the answer in your own material it says it does not know and hands over - it does not guess.

AI automation in Stockholm: three flows that can almost always be automated

Automating with AI rarely starts with the most advanced flow, but with the most repetitive one. When we map companies in Stockholm the same time thieves come back regardless of industry. These three are usually the fastest to justify financially.

  • Incoming email: enquiries are sorted by type and urgency, get a suggested reply and are logged automatically in the CRM. Typically saves 3–6 hours a week for whoever sits on the info address.
  • Documents and invoices: AI reads supplier invoices, delivery notes or tender documents and fills in the fields instead of a person. Accuracy is high on structured documents, and uncertain items are flagged rather than booked incorrectly.
  • Quote and order registration: details from forms, emails and PDFs go straight into the right system with the right fields filled in, without manual copying between tabs.

What these three share: they are rule-driven, they have volume and there is a correct answer to measure against. Creative or trust-sensitive tasks - negotiations, recruitment, difficult customer cases - end up at the bottom of our list, not the top.

AI, GDPR and the AI Act: where does your data end up?

The most common question we get is not what AI can do, but where the information goes. The answer depends on how the solution is built, and it is something you should demand an answer to from any supplier.

  • Data storage within the EU can be selected with the major providers - we set it up that way whenever you handle personal data.
  • Business agreements mean your data is not used to train the provider's models. That does not apply automatically in the free versions of the same tools.
  • A data processing agreement is signed between you and the model provider, and we help with the paperwork.
  • We minimise rather than maximise: personal identity numbers, complete customer registers and sensitive details are not sent into the model if the flow works without them.
  • Since 2 August 2026 the EU AI Act requires a chatbot to tell customers that they are talking to an AI. We build that notice in from the start, so the solution follows the rules without you having to think about it.

What AI does not solve

We make money from building AI solutions, so this may be an odd section to write. But the projects that fail almost always fail for the same three reasons, and those reasons are visible in advance.

  • A broken process does not improve by running faster. Automate a way of working that already produces errors and you simply get the errors faster and in greater volume.
  • AI does not replace missing source material. If the answers are not written down anywhere, no model can find them - then documentation is the first step, not AI.
  • No owner, no effect. Solutions nobody is responsible for stop being used within a few months, no matter how well they worked at launch.

Our only guarantee is the opposite of the industry standard: we promise to tell you when AI is not worth it for you. It is cheaper for us to turn a project down than to deliver something you stop using after three months.

AI for those already working on visibility

Many of our AI assignments start with clients who already buy search engine optimisation or Google Ads from us. That is no coincidence: once the traffic arrives, the bottleneck moves to what happens after the click - response times, quote handling and follow-up. What is included in the 900 kr hourly rate for AI work?

All work in the project: mapping, building, integration, testing and adjustments after launch, whether it concerns a chatbot, an automation or ongoing improvements. The price is 900 kr per hour excluding VAT and you get an estimate in hours before the work starts. The running cost of the AI model itself is not included; it is paid directly to the provider.

Which AI services can be integrated into an existing website?

The most common are a chatbot trained on your own content, automatic replies and sorting of form submissions, AI-generated product descriptions and content personalisation based on visitor behaviour. All of this can be added on top of a site that already exists - it does not need rebuilding, as long as it works technically.

Can you build an AI chatbot that answers in Swedish?

Yes. We build on ChatGPT or Claude, both of which handle Swedish well, and train the bot on your own Swedish material. The same bot can answer in English and other languages without extra work - it detects which language the visitor writes in.

How long does it take to implement an AI solution?

A chatbot is running within 1–2 weeks. Automating one workflow usually takes 2–4 weeks from mapping to production, and integrations with business systems 4–8 weeks depending on what your systems look like and who owns them. We recommend starting with a pilot on one limited flow for 2–3 weeks and measuring the time saved before the next step.

What happens if the AI answers incorrectly?

We always build in a limit on what the bot is allowed to answer. If it cannot find the answer in your own material it says it does not know and hands over to a human instead of guessing. The logs are reviewed continuously so that recurring errors are corrected in the instructions.

Do we need technical expertise in-house?

No. You need one person who knows how the work is done today and who can read through the logs once a month. We handle the build, the integration and the operation. You get training and documentation, and day-to-day use requires no programming knowledge.

Do you only work with companies in Stockholm?

No. We are based in Stockholm and are happy to meet in person here, but AI projects work just as well remotely and we have clients across Sweden. The mapping and follow-up then take place over video.
